We understand wanting to have your ducks in a row before hiring a Client Account Manager, but we're here to tell you that your agency does ๐ฏ๐ฐ๐ต need to have SOP's, workflows, or even specific roles for the CAM before hiring someone like us (DOT!).
In all honesty, it works better for us if you DON'T have all of your systems in place, so we can help you write the book as you grow.
When getting ready to hire, here are the main things to consider as you prep:
You should have enough clients to justify a Client Account Manager role (we recommend at least 3-5, depending on the size of the scope).
You have to be willing to hand over the reins - sometimes we all need that friendly reminder that you will have to give up some control.
You must understand and see the Client Account Manager role as an investment into your future business. {Pssst...DOT & Company's whole purpose is to help agencies scale, we are here to help.)

35. Angry Clients? Here's How To Make Them Feel Better
Weโve been there - weโve seen it all - we always talk about how GREAT our clients are, and yes - theyโre AWESOME.
But sometimes it all goes sour, and being the client-facing piece to the marketing puzzle, we need to make sure weโre cool, calm and collected.
Clients will get angry, they will have issuesโ and hereโs how you tackle them ๐
First - donโt puff up! Being defensive isnโt a good look. Just think, if you reverse the roles, would you like to be on the receiving end? Weโre gonna say no.
Second - make sure you come prepared. Navigating angry clients can be uncomfortable, so get your ducks in a row, think before you speak, and make sure you hold your own. You need a pep talkโ you wonโt be walked over and you know what to say.
Third - it has to go both ways. There is an ebb and flow to every relationship, you hear them and they hear you. And, if all goes according to plan, the conversation is mature and positive. As Client Account Managers, we absorb this role, and usually, agency owners and team members are happy to let us do so.

29. Loom? Our Secret Weapon To Less Meetings + Better Communication

Loom is a wonderful software that you can download directly onto your computer, or add as a Google Chrome extension tool. Loom records your screen, your voice, and even your video all at the same tell to help you create quick and easy walk-through videos for a variety of stakeholders. The beauty of this platform is you can record up to 5 minutes of screen-sharing for free each time you use it, and the clips will save directly to your clipboard.
You can also leave comments directly in the Loom application (or ask clients to leave their feedback!), which can help you cut down on meetings and transform your clients communications.

When booking sales calls or client meetings via text or social platforms, you can create the following keyboard shortcut on your iPhone to help fire off your scheduling link in a flash.
Go into Settings > General > Keyboard > Text Replacement > Type 'Cal Link' [for example] > Insert Calendly Link under 'Shortcut'
~~Now every time you are in a messaging app, when you type 'Cal' your link should pop up immediately!
