In law firms, there are two categories of systems: process systems and record-keeping systems.

Processes are the most valuable law firm systems because that's how the work gets done. If you want a smooth-running firm, you have to document (i.e. "map") those processes systematically. And you do that by asking 5 key questions.

Lawyers are pretty good at record keeping systems such as calendaring appointments and deadlines, contact records, matter-related documents etc. But you still need to pay close attention to how records information is managed.
