See whether you can cluster tasks together so that while you're sorting out that admin task, you also do that admin task and that admin task. I used to start organising my to-do list by people. When I was head of education, overseeing all the undergraduate and postgraduate talk master's programs in my school, I would order things by person who I needed to speak to about it. So rather than sort of bothering him all the time, I would have my little list that were all him things. How can you cluster things? If you need to go to the finance office, what's four things you can do at the finance office while you're there?"
